Total Cost of Ownership (TCO)

Understanding the True Costs of Your Print Environment

Introduction:

Total Cost of Ownership (TCO) is a financial estimation that helps businesses and individuals understand the direct and indirect costs associated with owning and operating printers and other devices in their print environment. TCO is an essential factor when evaluating and comparing the long-term value of different printing solutions.

At Kanban MPS, we believe in providing transparent and comprehensive information to help our customers make informed decisions. This page will guide you through the different components that make up TCO and how our Managed Print Services can optimize your print environment, reduce costs, and minimize environmental impact.

Components of TCO:

  1. Hardware Costs: The upfront expenses for purchasing printers, multifunction devices, scanners, and other equipment required for your print environment.
  2. Consumables Costs: The ongoing costs of ink, toner, and other consumables needed for your devices to function efficiently.
  3. Maintenance and Repair: Expenses related to maintaining, servicing, and repairing your devices, including labor costs, spare parts, and support contracts.
  4. Energy Consumption: The cost of electricity needed to power your devices and the potential impact on your energy bills.
  5. Downtime and Productivity Loss: The loss of productivity and potential revenue due to device malfunctions, downtime, and inefficient workflows.
  6. Environmental Impact: The carbon footprint and waste generated by your print environment, which can affect your company's sustainability goals and social responsibility.

TCO Example

Recently, we encountered a group of 80 care homes that had been using seemingly small, inoffensive deskjet devices, purchasing ink cartridges online. Over the last year, the customer had gone through 1,600 ink cartridges at a cost of nearly £70,000 + VAT per year across 115 inkjet devices.

Like many small businesses, the customer chose the smaller inkjet devices because they were from a popular manufacturer and delivered high-quality prints. Unfortunately, the customer fell into the trap of a "cute and cheap device" that came with expensive ink.

Moreover, the devices had no support or service beyond the standard 1-year manufacturer's warranty. The customer also had to contend with nearly 160 orders over the year because each cartridge had a yield of only 825 pages.

Kanban was able to offer fantastic commercial devices with a yield of almost 50,000 mono pages and 20,000 color pages at the same volume that the original 1,600 cartridges provided for less than £44,000 + VAT per year.

Our price of £44,000 + VAT includes new devices, the same ink, support services with parts and labor. Additionally, due to the yield of the cartridges we recommended, they won't need to change the cartridges on any of their devices for almost two years, whereas currently, the organization is making almost 150 orders a year.

Their existing cost of nearly £70,000 was only for the ink cartridges.

The above example demonstrates that we can assess your Total Cost of Ownership and advise on the right solution for your business.
